Host a Festival Booth

NOTE: Kentucky requires nonprofits to add sales tax of 6% to booth fees. 

Visit our performer’s section if you would like to perform on stage.

Solicitations or circulation of information, surveys or business, religious or political materials is not permitted except within registered boothspace.

Cultural Display & Vending Booth Applications

Complete the application for the type of booth space below that you would like to reserve.

NOTE: Electricity is limited – do not request it for fans, charging or other items that can be otherwise powered. Generators must be silent and smoke/fume free.

Provide something for festival goers’ Travel Guides (optional). Use stamps, stickers or write in them.  Create your own flag stickers using our templates.

Cultural Displays

For booths focusing on educational displays and items representing a foreign culture. No sales permitted. No deadline.

Cultural Themed Merchandise

For booths selling merchandise/services representing a foreign culture. No deadline.

International Cuisine*

For booths serving authentic foreign foods. No deadline.

* Food booths must also register with the Health Department and follow Health Department regulations (Deadline Sept. 26 Camille Hiller, 270-781-2490 ext. 2540 / camille.hiller@barrenriverhealth.org. Office hours are 8:00 a.m. – 9:30 a.m., Monday – Friday, otherwise leave a message).

Visit our Restaurant Discount Card section if you have a restaurant or food truck and would like to be on the card (There is no cost or menu requirements to be included).

Special Interest Booth*

For booth without a foreign culture theme, whether selling or not. No deadline. Due to space constraints and audience request, acceptance is rare with the exception of sponsors at the Diplomat ($2000) level or above.

Important Reminders

  • Attendance & Space
    • Notify us immediately if you cannot attend—we often have a waitlist.
    • If you need additional booth space, request it as soon as possible. Space is limited and may not be available later.
    • Please only request the space you truly need.
  • Food Vendors
    • Obtain a temporary health permit by September 21 from the Health Department (1109 State Street).

Required Participation Guidelines

(Agreed to upon registration)

  • Cooperate with festival volunteers at all times.
  • Check-In & Setup
    • Do not call for booth assignments—they are provided at check-in.
    • Check-in at the Information Booth before setup:
      • Friday: 6:00–9:00 p.m.
      • Saturday: beginning at 7:30 a.m.
    • Booths must be fully set up by 9:00 a.m.
  • Operating Hours
    • Booths must remain open and staffed from 9:00 a.m. to 6:00 p.m.
  • Booth Space Rules
    • Stay within your assigned space—no roaming solicitation (including sidewalks).
    • Do not place any items (tables, tents, racks, etc.) outside your space.
    • Booths must face the direction indicated on the site map.
  • Vehicles & Parking
    • No vehicles inside the fenced area (except briefly to unhitch trailers at street booths).
    • Move vehicles immediately after unloading.
    • Free parking is available in the College Street parking structure (next block).
      • Overnight Friday parking allowed on College Street side, levels 2–4.
  • Setup Requirements
    • Bring your own equipment: cords (#10 or #12), tables, chairs, tents, shelving, etc.
    • Do not drive stakes into the ground—use sandbags for tents.
  • Content Compliance
    • Booth content must match your application and be appropriate for general audiences.
    • Misrepresentation or inappropriate content may result in removal without refund.
  • Site Access
    • After 9:00 a.m., use only the Participant Gate on College Street for entry with supplies.
    • Do not open or move fence sections.
    • For assistance with loading/unloading, visit the Site Tent near the State Street parking lot.
  • Worker Admission
    • Groups fully registered by the Saturday before the festival receive 8 worker tickets.
    • Request additional tickets at: director@bginternationalfest.com
    • Workers without tickets must pay admission (discounted online).
    • Ticketed workers may use the Participant Gate for faster entry.
  • Sales Tax
  • Travel Guides (Children’s Activity)
    • Provide an interactive item for the festival Travel Guide booklet (e.g., stamp, sticker, or writing in another language).
    • Templates for flag stickers are available on our website.

Each registered host will receive 8 free admission tickets for workers. If you will have more than 8 people actively running the booth contact us to request additional tickets. Workers without tickets must pay admission (note: tickets cost less if bought online in advance). The Participation Gate on College Street is the only gate equipment and supplies can be brought through.  Check in at the Information Booth, pay any uncollected fees (if applicable), and receive your assigned location before setting up on festival day.
