Gates: Station: Gate 1 & Gate 2

All Volunteers, All Shifts, All Stations

  • Enter near Gate 1 on State St. (see Park Map). Admission is waived if you are on the schedule & enter here.
  • Check at the volunteer booth to receive instruction. Wear your volunteer tag for identification.
  • Locate your supervisor and the volunteer you will be relieving to learn specific shift duties.
  • Maintain a clean & organizaed work area. Use care with all materials/equipment - we reuse almost everything.
  • Before leaving train your replacement.
  • Don't leave area unattended - If you feel unneeded, check with your supervisor for work or reassignment.
  • After your shift check out at the volunteer tent to receive: Confirmation/thank you letter, Restaurant Discount Card and Hospitality Tent pass (all food must be eaten in the tent). If working 9 hours or more you will a tshirt. All volunteers can purchase tshirts for $8 (regularly $12).

Specific Duties: Gates 1, 2, and 3 are the points where all festival goers, volunteers, vendors and performers enter the site. Booth workers collect admission fees and

Inventory: Bin contains admission stamps, signs, discount cards, a cashbox, brochures, guest lists and other materials.

Festival Day:

8:00-9:30am:

  • Finish set up of tables, tents and chairs. Get materials out of bins and set up station including posting signs.

9:15am-12:15pm, 12-3pm, 2:45-5:45:

  • Person #1:
      • Stand a little distance in front of the gate to greet everyone, give each family a brochure with the Festival map, point out the collectible t-shirts hanging in the tent, and encourage people to visit the merchandise tent, also for ponchos and rain hats.
      • Help visitors form two lines to keep things moving better.
      • At Gates 2 and 3, direct any vendors, performers, and volunteers to Gate 1 to check in for free admittance.
      • At Gate 1, direct all vendors, performers, and volunteers to the 4th gate person to check in for free admittance.
  • Persons #2 and 3:
      • Position yourselves at the table in order to be able to admit two lines of visitors. Familiarize yourself with the various entrance fees. (See the laminated breakdown of fees, other instructions.) Keep all cash in cash box and restaurant coupon cards in box until sold.
      • Put any on-line discount coupons into the “bucket.”
      • Stamp the hand of everyone admitted and use the counter to click off everyone you admit, even children admitted free. At the end of your shift, record the number of attendees on the counter and record it on the list provided.
  • At Gate 1: Person #4:
      • Manage the lists of performers, vendors, and volunteers and check off people against the lists as they come through.
      • If the person isn’t on the list by name but says they’re a performer or volunteer with a certain group on the list, mark them down with a hatch mark by that group on the list so that we have a record of how many unnamed participants attend.
      • Be sure all the Festival participants get their hands stamped for free admittance.
      • Direct volunteers to the Volunteer tent 

5:30-8:30pm:

  • Continue as above until 6pm.
  • At 6pm begin carefully removing signs and materials and placing them neatly in the appropriate bin.
  • Gently fold tent. Hard pressure is not necessary. Replace in box or bag and return to trailer.
  • When bins are full close them and return them to trailer area.
  • Take deposit sheets and cashbox to the Merchandise booth.
  • Fold the chairs and tables and stack on big lawn next to first lamppost.
