Hospitality Tent

Children's Activities Tent

Overview: Volunteers will assist children with art activities, restock materials and keep the area picked up. 16 volunteers are need per shift to man 8 activity tables. The first shift of 4 volunteers is used to set up the area.

Supervisor: Susan Morris, Activities Committee Chair.

General: We really count on everyone that signed up on being there, especially when you are working with children!  They count on you more!

  • No alcohol, cigerettes or food should be within the Children's Activity Tent at anytime.
  • Wear comfortable clothes (something you can move around in)  and more import comfortable shoes, you will probably be on your feet most of your shift.
  • We want to encourage the children to make their own creations. The volunteers will make sure the supplies are replenished and assist  the child if/when needed.  If there are parents or other adults with the children, we want you to encourage them to assist their kid(s) in their creations.  We encourage “parent/adult/sibbling” involvement with the child(ren).   DO NOT make the kids crafts for them, no matter how their project turns out. The main thing is that the children have fun making the items. You may make items, but first and foremost help the children and keep the area stocked and cleaned up.

7:00am - 9:30am:

  • Set up children's activity area according to Childrens Activity Tent area closeup map. Tents and tables will be in the area behind the Information Booth. Bins labeled Children's Activity Tent should be brought to the area. Dumpsters will be in the parking lot. Banners are in labeled tubes in the same area behind the information booth.

9:15am - 12:15pm; 12:00 - 3:00pm; 2:45pm - 5:45pm:

  • Make sure all setup from previous shift is complete. (see Childrens Activity Tent area closeup map.)
  • Set supplies out on the tables according to supervisors instructions. Replenish supplies on the tables as needed.
  • Assist children w/ creating their projects. Each table will contain supplies for different projects. Samples and more specific instructions will be available in those areas. Some may be posted here as projects are decided.

5:30 am - 8:30 pm;

  • Continue as above until 7pm. Do not begin visible breakdown until 7pm. Let kids finish their projects and begin shutting down the booth as the area clear out.
  • At 7pm begin carefully removing decorations/signs and placing them neatly in the appropriate bin.
  • Put left over supplies in bins located under the tables for next year. Please take care to organize bins neatly with like supplies. As bins are filled ask where to put them.
  • Oversee/help Site Coordinator's crew in tearing down the area. Be sure they are careful with tents and signs & everything is returned neatly to the correct bin.
  • Gently fold tent. Hard pressure is not necessary. Replace in box or bag and return to trailer.
  • When bins are full close them and return them to trailer area.
  • Fold the rest of chairs and tables and stack on big lawn.
